When we tested the current Teams app on Windows 11 and Mac, the tight integration between meetings, calendar, chat, and shared files made it especially convenient. The interface still takes a little getting used to, but Teams is noticeably easier to navigate than older versions.
Make sure you download the current Teams app. The classic Teams client has been retired and shouldn’t be installed from old download pages or saved installers.
What is Microsoft Teams?
Microsoft Teams combines several tools you’d normally use different apps for. You can send messages, create group chats, hold video meetings, share your screen, send files, and collaborate on documents.
At work, Teams is often organized into different teams and channels. A company, for example, might have separate channels for sales, administration, marketing, and specific projects.
Personal users get a simpler version focused on group chats, meetings, calendar, sharing photos and files, and staying in touch with friends and family.
The same Teams app works with both personal and work or school accounts. On Windows, multiple accounts can be signed in at the same time, so you don’t have to fully log out each time you switch organizations.

Teams can be installed as a regular app on both Windows and macOS. The desktop app is usually the best choice if you often join meetings, receive messages, or work with shared files.
After installing, sign in with one of the following account types:
- A personal Microsoft account.
- A work or business account.
- A school or university account.
- A guest account in another organization.
On our Windows 11 PC, installation took only a moment. The biggest hurdle came at sign-in because the computer already had multiple Microsoft accounts attached. It’s worth checking the email address shown at the top of Teams if your channels, chats, or meetings suddenly seem to have disappeared.

Teams login – how to get into the right account
Teams sign-in often causes confusion because a personal Microsoft account and a work or school account can have almost the same email address.
When you open Teams, pay attention to which account and organization are selected. You can switch accounts by clicking your profile picture at the top of the app.
If you can’t find a specific team or channel, the content usually hasn’t been deleted. You’re most likely signed in to the wrong account or organization.
Personal Microsoft accounts and work or school accounts can be used side by side, but they aren’t merged into a single account.
Is Microsoft Teams free?
Yes, Microsoft Teams is available in a free version for personal use.
With free Teams, you can chat, share photos and files, and host group meetings with up to 100 participants for up to 60 minutes. The free account also includes 5 GB of cloud storage.
Businesses can choose Teams Essentials or a Microsoft 365 plan. These offer longer meetings, more storage, recordings, user administration, and deeper integration with Microsoft’s business solutions.
So it’s a bit misleading to call Teams simply “free.” The app is free to download and the personal version can be used without a subscription, but many advanced enterprise and AI features require a paid license.
Chat, channels, and messages in Teams
The chat feature works for both direct conversations and group chats. You can send plain text, images, GIF animations, reactions, documents, and links.
On work and school accounts, conversations can be organized into channels. That makes a big difference when many people collaborate, because messages don’t end up in one long, messy group chat.
Teams can feel a bit heavy if you belong to many organizations. In our testing, it worked best to pin the most important chats and hide channels we rarely used.
Microsoft has also improved search with filters for dates, people, mentions, and attachments. Newer versions also support more actions and workflows directly from the message box.
Video meetings and screen sharing
Teams supports both scheduled meetings and ad‑hoc video calls. During a meeting, participants can:
- Turn camera and microphone on or off.
- Share the entire screen or a single window.
- Post in the meeting chat.
- Raise their hand.
- Enable live captions.
- Change or blur the background.
- Share presentations and other documents.
Teams also offers noise suppression to reduce keyboard sounds, ventilation, and other noise near the microphone. We found it especially useful when joining from a home office that isn’t always perfectly quiet.
There are multiple levels of noise suppression, and on supported accounts Teams can even isolate the speaker’s voice from other voices in the room.
Can you join a Teams meeting without an account?
You don’t always need to install Teams or create an account to join a meeting.
Open the meeting link and choose to continue in the browser or join without signing in. Then enter your name and, if needed, wait for the organizer to let you in.
Some organizations require participants to sign in. This depends on the organization’s security settings and the organizer’s choices.
File sharing and Microsoft 365
Teams works especially well if your company or school already uses Microsoft 365.
Word, Excel, and PowerPoint files can be shared directly in chats and channels. Multiple people can then work on the same document without sending different versions back and forth as attachments.
That’s one of Teams’ biggest strengths, but also a reason it can feel complex. Files may be stored in Teams, OneDrive, or SharePoint depending on where they were shared.
Our best tip is to open the file’s menu and choose to show its original location if you’re unsure where the document actually lives.
How to schedule a Teams meeting
You can schedule a Teams meeting directly from the calendar:
- Open Calendar in Teams.
- Select New meeting.
- Add the meeting title, date, and time.
- Add participants’ email addresses.
- Optionally add a description or agenda.
- Click Send.
Recipients will receive an invitation with a link to the meeting. They can usually join via the Teams app or a supported browser.
If your workplace uses Outlook, you can also create Teams meetings from the Outlook calendar.
Teams on Linux, mobile, and in the browser
Microsoft Teams is available on the following platforms:
Windows: Full desktop app.
macOS: Full desktop app for Mac.
iPhone and iPad: Mobile app for meetings, chat, and files.
Android: Mobile app for phones and tablets.
Web browser: Teams is supported in recent versions of Edge, Chrome, Firefox, and Safari.
Linux: There isn’t a traditional standalone Linux client like on Windows and Mac. Linux users can use Teams in the browser or install the web version as a PWA.

Teams at work
Teams works best as a shared platform—not just a video meeting tool. Channels, shared files, calendar, tasks, and documents can bring a large part of daily work together.
That requires a reasonably logical structure. If everyone can create new teams and channels without common rules, the platform quickly becomes cluttered.
Teams for school and education
Schools and universities can use Teams for teaching, group work, announcements, sharing materials, and virtual classes.
For students, it’s especially helpful that conversations and files can be grouped around each class or project.
Teams for personal use
The personal version is simpler and suited for group chats, families, clubs, and small communities. The 60‑minute limit on free meetings can be annoying for longer events.
Copilot and new AI features in Teams
Teams now includes several AI‑powered features, but the most advanced ones typically require a relevant Microsoft 365 or Copilot license.
Depending on your plan, Copilot can help summarize meetings, find information in chats, draft follow‑ups, and surface insights across shared files.
Microsoft has also added meeting recaps, improved transcriptions, automatic language detection, and more ways to work with meeting notes and summaries. Availability depends on account type, license, and your organization’s settings.
Security and privacy in Microsoft Teams
Microsoft states that meetings, chats, calls, and files are protected with data encryption. Businesses also get more options for administration, identity management, and security policies.
That doesn’t mean every Teams conversation is private from your employer or school. An organization may have retention, logging, and access rules for work‑related data.
Avoid using a work or school account for private conversations that don’t concern the organization.
Teams is strongest when the rest of your workplace uses it
Microsoft Teams isn’t the simplest communication app on the market. There are many menus, account types, and features—and new users in particular can end up signed in to the wrong account.
That said, Teams is hard to avoid at workplaces and schools that use Microsoft 365. The combination of chat, video meetings, calendar, documents, and file sharing works well when the organization has set up the platform properly.
The personal version is solid and free, but it’s not the only reason we recommend Teams. Its real strength is the collaboration between people, documents, and Microsoft’s other apps.

Top 5 tips for Microsoft Teams
1Check your account before the meeting
Look at the profile picture at the top of Teams and make sure you are using the right personal account, workplace, or school. This solves a surprising number of missing chat and meeting issues.
2Test audio and camera in advance
Open Teams settings before an important meeting and check your microphone, speakers, and camera. Also enable noise suppression if there’s background noise around you.
3Pin your most important conversations
Pin the chats and channels you use every day. It provides a much better overview, especially if you belong to multiple teams or organizations.
4Use search filters
Search for a message, then filter by person, date, mention, or attachment. It’s often faster than scrolling through months of conversations.
5Share the right window
Share only the app or document participants need to see, instead of your entire desktop. That way private messages and notifications won’t pop up during the meeting.
